Most businesses treat first aid training as something you sort out once and then stop thinking about, right up until the reminder lands that two certificates expire next month. By then one of the named first aiders has left, the other works nights, and the course you need has filled up.
Cover is not a certificate in a folder, it is having somebody trained, current and physically present whenever people are working. Plenty of workplaces hold perfectly valid certificates and still have hours in the week where nobody qualified is anywhere on the premises.
The law is not prescriptive about numbers, so your assessment of what the workplace actually needs is what sets the level and the headcount. Keeping that figure true across three years of holidays, resignations and shift changes is the harder part, because having a trained person on hand only counts in the moments when they are actually there.
How Long First Aid Training Certificates Last
Both the one-day Emergency First Aid at Work certificate and the three-day First Aid at Work qualification run for three years from the date of issue. Nothing prompts you when that date approaches, so it falls to whoever keeps the training matrix, and it usually surfaces later than it should.
Requalifying Before Your First Aid at Work Certificate Expires
Renewing First Aid at Work takes two days rather than the original three, which is a real saving in wages and downtime once you multiply it across a team. That shorter route only stays open while the certificate is still in date, and letting it lapse puts your first aider back through the full course. Diary the expiry the week the certificate arrives.
Annual Refresher Training and Skill Fade
The HSE recommends a short refresher in each of the years between qualifications, and it earns its place for reasons that have very little to do with compliance. Practical skills fade fast when nobody uses them, and CPR is the classic example of something people are certain they remember until they are kneeling next to a colleague. A couple of hours a year keeps the skills that matter most within reach.
Why One Trained First Aider Rarely Covers a Workplace
Working out that you need one first aider and then training exactly one person leaves you exposed the moment they book leave, call in sick, or head out on a delivery. Most workplaces need two or three trained people to reliably have one available, and more again once you factor in shift patterns, split sites or a night operation.
Putting a group through together usually works out cheaper per head than feeding people onto public courses one at a time, and running the course at your own premises takes the travel out of it entirely. Volunteers are easier to find than managers tend to expect, because a fair few people want the qualification for their own reasons and will put a hand up if asked.
When Your Workplace Needs More Than Standard First Aid Training
Workplace first aid assumes the casualty is an adult colleague, which covers most businesses perfectly well but leaves obvious gaps if children come onto your site or if the emergency is a mental health crisis rather than a physical injury:
- Nurseries, pre-schools and holiday clubs generally need staff holding the two-day Level 3 paediatric qualification.
- Leisure sites, family attractions and similar businesses where contact with children is occasional usually find the one-day emergency paediatric course proportionate.
- Line managers who need to spot when somebody is struggling can start with a half-day mental health first aid session.
- Designated mental health first aiders take the one-day or two-day version depending on how formal the role is.
- Higher-risk environments such as manufacturing, warehousing and construction generally want first aiders at First Aid at Work level rather than the one-day emergency course.
